Make better processes part of everyday work

You map out processes, recommend improvements and help clients make changes. The value comes when people actually work that way. WorkVine helps turn your recommendations into clear tasks, responsibilities and repeatable processes.

From process design to everyday use

Not every improvement needs a large software project. Choose a process that involves several people and where handovers or follow-up are currently falling short.

The team starts from scratch every time

Use a project template for a process the client runs regularly. Give tasks, documents, owners and deadlines a consistent structure, then adapt it for the next project.

A form alone doesn't make a process work

Ask WorkVine to turn existing HR forms into digital versions. First agree on who completes them, who reads them and what should happen after an acknowledgment.

The new approach doesn't reach the people doing the work

Help people learn the new approach and use it in their work. Training explains what to do; communication and targeted actions help them follow through.

From design to handover

Start with one process you can evaluate together

For example, you might help a client open a new branch. Use that project to test whether roles, tasks and handovers work in practice.

  1. Define what the first run should achieve

Agree on the opening tasks, who makes decisions and what counts as complete. Appoint a responsible person at the client and be clear about what falls outside the engagement.

  2. Set up the process and run a pilot

Create a project with tasks, owners and deadlines, and keep the relevant documents alongside it. Have the people involved use it for one real project, then discuss what needs improving.

  3. Hand over a process the client can use

Apply what you've learned, make recurring steps reusable and agree on who will maintain the setup. The handover is complete when the client knows how to start the next project.

For your pilot and handover

Five points to agree on before you start

Use these points to define the initial setup together. They help prevent an engagement from quietly expanding into a redesign of the whole organization.

  • Which process will we set up first, and what will wait?
  • Who owns the process on the client's side?
  • Which tasks, documents and permissions are needed?
  • Who will test the first run and provide feedback?
  • When will the client be able to start the next project independently?

Clear roles for your firm, WorkVine and the client

Your firm guides the change

You help clients analyze their processes, make decisions and get people involved in the rollout. We agree on the consulting and implementation work you will deliver before you start.

WorkVine provides product expertise and support

We help identify what the platform can support, carry out the agreed setup and answer product questions. Joining the programme does not automatically make your firm a certified partner or reseller.

The client keeps the process working

A designated owner looks after the content, permissions and follow-up. Clarify which questions the client handles internally and when to involve your firm or WorkVine.

Good to know

Questions from consulting and implementation firms

Here are the key points. We're happy to talk through your situation.

Do we need to configure everything in WorkVine ourselves?

No. You can focus on improving processes and helping people adopt the changes. WorkVine provides product guidance and setup support. For specific needs, such as digitizing an existing HR form, we work out the requirements together.

Can we start with a single client process?

Yes. A specific process, such as onboarding or opening a branch, is a useful starting point. We look at the required steps, roles and relevant modules before defining the scope.

Does WorkVine replace our project accounting system?

WorkVine supports task-based employee and organizational processes with tasks, documents, owners, deadlines and progress tracking. It is not a project accounting or portfolio planning system.

Does the partner fee cover our consulting work?

The partner fee is for referring clients under the programme. Your own consulting or implementation work, responsibilities and any fees are subject to separate agreements made upfront.

Which client process should we tackle first?

Bring a process outline, an existing form or a specific implementation question. We'll explore how WorkVine can support it and where your firm's expertise adds value.
